    Job Title: Office Coordinator

    Location:  Portland, OR (Downtown location)


    About This Role:


    The Office Coordinator is tasked with a wide variety of facility and administrative related responsibilities. The Office Coordinator is highly visible, requires a high level of professionalism, and the ability to handle confidential information.


    What You’ll Do:

    • May support more than one location either physically or virtually
    • Space planning & seating assignments
    • Coordinate internal office moves & relocations
    • Maintains floor plans & emergency evacuation procedures
    • Submit requests & work orders to property management & external vendors
    • Effectively manage relationships with vendors, service providers, property management, etc.
    • Ability to track & monitor facility related costs
    • Create Purchase Orders
    • Procurement & stocking of office supplies and snacks for multiple floors
    • Meeting support (conference room booking & setup, catering, etc.)
    • Assists Facilities Management with special projects as needed
    • Provide general reception support (answering phones, greeting guests, answering/routing inquiries, managing incoming/outgoing mail & packages)
    • New Hire onboarding & setup
    • Ability to move & assemble furniture
    • Other duties as assigned.

    What You’ll Need:

    • Minimum of 3 years of Facilities and Support Services experience
    • Bachelor’s degree preferred
    • Familiarity with budget management
    • Ability to communicate effectively across multiple organizations, and multiple facilities
    • Excellent time management skills and the ability to multi-task required
    • Ability to resolve a wide range of issues in creative ways
    • Must have strong decision-making skills and the ability to work independently
    • Excellent verbal/written communication skill required
    • Strong proficiency in MS Office products
